Download / Upload spreadsheets in Gradebook (Ultra)

Why would I Download Gradebook as a spreadsheet?

Saving a record of all student marks and grades can be achieved by downloading a spreadsheet of this data from the Gradebook. This can be useful if you are required to keep student grades to meet accreditation purposes. Alternatively you will need to download a copy of Gradebook if you wish to do direct mark uploads.

Why would I Upload to Gradebook using a spreadsheet?

Marks can be uploaded directly to Gradebook using a spreadsheet. Uploading to Gradebook is predominately used for uploading marks from EoS exams completed in either Inspera or the Bubblesheets marked by ITS.

Uploading marks to Gradebook requires the following:

The spreadsheet needs to be saved in either the Tab-separated File (.xls) or the Comma Separated Values (.csv) file formats.
A column containing the Username heading. This column should contain the student's unique username.
A column containing the Unique Gradebook column heading. The format of a Gradebook column heading is as follows: Name of column [Total Pts: X Score] |Column ID e.g. MCQ EoS Exam [Total Pts: 100 Score] |1002753

Download Gradebook

Select Gradebook from the navigation bar.
Select Marks from the Gradebook navigation bar.
Click on the Download Gradebook button.
Select the Full Gradebook radio button.
Either check the Select all items checkbox or check an individual column checkbox.
Either select the Tab-separated File (.xls) or the Comma Separated Values (.csv) radio button.
Note: Some MAC users can experience difficulties with Comma Separated Values (.csv) files.
Select the My Device radio button.
Click on the Download button.
File will automatically download. The file name will be in the following format: gc_Full course code_columns_date-time or gc_Full course code_fullgc_date-time. e.g. gc_ELRN0739_7460_00021_columns_2025-04-09-09-18-12
Tip: The downloaded file will generally be saved by your device to the Downloads folder.

Upload to Gradebook

Preparation

Prior to uploading a spreadsheet to Gradebook ensure that you have met the below requirements:

The spreadsheet needs to be saved in either the Tab-separated File (.xls) or the Comma Separated Values (.csv) file formats.
A column containing the Username heading. This column should contain the student's unique username.
A column containing the Unique Gradebook column heading. The format of a Gradebook column heading is as follows: Name of column [Total Pts: X Score] |Column ID e.g. MCQ EoS Exam [Total Pts: 100 Score] |1002753
All remaining columns should be deleted.

The following screenshot demonstrates what the data in the spreadsheet should look like prior to uploading.

Upload to Gradebook

Select Gradebook from the navigation bar.
Select Marks from the Gradebook navigation bar.
Click on the Upload Gradebook button.
Either drag and drop your spreadsheet file into the Drop your spreadsheet to upload box or click on the Upload Local File button.
File will start to upload.

Warning: If the format of your spreadhseet is wrong you will receive an Incorrect Data Format warning message.
Once file is successfully uploaded, confirm the Gradebook column that will receive marks is ticked.
Click on the Upload button.
Upload Complete will be displayed confirming upload of Gradebook.
The Gradebook column will contain the uploaded marks.
