Zoom security considerations

To enhance the integrity of Zoom meetings, please consider the security and control options listed below. It is highly recommended that the Authenticated users only option is enabled and selected when scheduling Zoom meetings. 

Never share Zoom meeting links publicly, or on social media, even if the event is meant to be public.

When scheduling meeting

When scheduling through Learn.UQ:

  • Under Meeting Options, check the Only signed-in users with specified domains can join meetings checkbox.

When scheduling through the web interface or application:

  • Under Meeting Options, check the Only authenticated users can join checkbox.

    By selecting this option when scheduling a Zoom meeting, it will restrict logins to UQ staff and students only.

    Note: If you have a guest presenter attending the meeting, do not select this optionwhen scheduling the meeting.

    Password

    Under Meeting Options, check the Require meeting password checkbox and enter a password in the textbox.

    It is recommended you enable this setting if there has been an incident or security concerns.

     
    Note: It is still possible for students to share the meeting ID and password, however this prevents people accessing the room by guessing the meeting ID.

    Waiting 

    Under Meeting Options, check the Enable waiting room checkbox. 

    This setting requires you to admit participants one-by-one to the meeting and is not recommended for large meetings due to the amount of work involved. 

    Note: It is not always possible to know whether a person in the waiting room is an offender, unless they have signed in with their UQ credentials

    Join before host

    Under Meeting Options, uncheck the Enable join before host checkbox.

    This setting is turned ON by default, however switching it OFF can improve the integrity of your classroom before the host arrives. 

    Note: If this setting is turned OFF, ideally the host will arrive to the meeting on time to ensure students can join after them. 

    During meeting

    Remove participant and lock meeting

    To remove a participant:

    1. Click on the Manage Participants button. 
    2. Hover over the participant you want to remove.
    3. Click on the More button
    4. Select Remove from the dropdown list.

    To lock a meeting:

    1. Click on the Security button. 
    2. Select Lock meeting.

    If you are running a Zoom meeting and there is an incidence of abuse, you can remove the offending participant from the meeting and lock the room to prevent them from returning.

    Note: If you lock the meeting, late arrivals will not be able to join from that point onwards. 

    Restrict screen sharing
    1. Click on the Security button.
    2. Deselect Share Screen.
    This setting will ensure that participants will not be able to share their screen during the meeting.

    How do I quickly add a Zoom Recording to Learn.UQ

    To quickly publish a Zoom cloud recording to Echo360 in your Learn.UQ course site, refer to the Publishing a Zoom recording to Echo360 guide.

    If I have scheduled a meeting how should I start the meeting?

    To start a scheduled meeting refer to the How do I Start or Join a Scheduled Meeting as the Host? guide (Zoom). Ensure that you have signed into Zoom using your UQ credentials. For further information, refer to the Installing Zoom guide.

    When I use the Zoom link via my Learn.UQ course site I see all my meetings, does that mean the students see all my meetings?

    No, students will only see the meetings that have been scheduled within that course. You can use the student preview tool to check what meetings the students will be able to see. For further information, refer to the Using the Student Preview Tool guide.

    How do alternate hosts see scheduled meetings in Learn.UQ integration?

    Only the host will be able to see the scheduled meetings when clicking through a Zoom link in your Learn.UQ course site. When you schedule a meeting and add an alternate host they will receive an email that contains their link to the meetings and a link to add it into your Outlook calendar.

    When I try to add an alternative host it comes up with an error saying they can't be found.

    In order to add a staff member as an alternative host, they will need to have activated their UQ Zoom account. This means that they will need to have logged into Zoom with their UQ credentials. For further information, refer to the Installing Zoom guide.

    When attempting to add an alternate host you will need to use a staff member's email address based off their name f.lastname@uq.edu.au, you will have to confirm with them exactly what this is as it may have their full first name or there may be a number at the end. You can not use school-specific email aliases such as @business.uq.edu.au.

    Staff can check their email address by logging into https://uqz.zoom.us/ and it will be displayed under their profile.

    The screen is blank when I click on the Zoom link in Learn.UQ.

    This is due to a recent update to the Google Chrome browser and is caused by a Third Party Cookies issue. For further information, refer to the Enabling Third Party Cookies guide. 

    Do I need to be connected the UQ VPN to use Zoom?

    No, you do not need to be connected to the UQ VPN to use Zoom. In most cases being connected to the VPN can slow down your connection speeds and reduce the stability of the meeting.

    How long does a cloud recording take to come through?

    Typically a cloud recording of a Zoom meeting will take a few hours depending on how long your meeting went for. During peak periods the recordings can take up to 48 hours to process.

    Can a Co-Host move between breakout rooms?

    Only the Host of a meeting can start Breakout Rooms in a meeting. However, if you set a co-host in a meeting they can also move between breakout rooms. For further information, refer to the Moving between Breakout Rooms guide.
