As per the 3.10.02 assessment procedure, some live oral or practical assessment items may need to be recorded and retained for re-mark purposes.

This guide details the recommendations around recording and storing live oral or practical assessment items which must be kept for at least one year following the release of final grades.

It is recommended that you use Zoom to record live oral or practical assessment items and that recordings are securely stored in Echo360 so they can be accessed if required for moderation, feedback or remark purposes. All Zoom cloud recordings will automatically be available in your private Echo360 library, therefore recordings can be shared to an Echo360 collection for other course staff to access. Echo storage complies with the retention requirements for 3.10.02 Assessment and 3.10.11 Examinations.

    4. Record via Zoom

    1. Start the scheduled Zoom meeting from the relevant device. Refer to the Joining or leaving a Zoom meeting ITS guide.

    Tip: Ensure you are connected to the UQ Wifi to avoid additional data charges if using a personal device.

    1. When you join the meeting you will have the option to enable audio, video and/or screen sharing if required. Refer to the Sharing a screen in a Zoom meeting ITS guide.
    2. Notify the student that the assessment is being recorded prior to starting the recording.
    3. In the meeting window, select Record > Record to the Cloud to start the cloud recording.

    Warning: You MUST record to the cloud or the video will not be available in Echo360. 

    Note: As per the policy, if the recording fails during the assessment, then the assessment should continue unrecorded.

    1. You can stop and start the recording multiple times by selecting the Pause and Resume options.
    2. Select Stop to end your recording or simply end the meeting.
    3. Once the cloud recording has finished processing, it will be available to add to a collection in Echo360.
