As per the 3.10.02 assessment procedure, some live oral or practical assessment items may need to be recorded and retained for re-mark purposes.

This guide details the recommendations around recording and storing live oral or practical assessment items which must be kept for at least one year following the release of final grades.

It is recommended that you use Zoom to record live oral or practical assessment items and that recordings are securely stored in Echo360 so they can be accessed if required for moderation, feedback or remark purposes. All Zoom cloud recordings will automatically be available in your private Echo360 library, therefore recordings can be shared to an Echo360 collection for other course staff to access. Echo storage complies with the retention requirements for 3.10.02 Assessment and 3.10.11 Examinations.

    2. Schedule the Zoom meeting

    Install Zoom

For more information on installing Zoom on your mobile device or desktop, refer to the Installing Zoom ITS guide.

    Schedule a Zoom meeting(s)

You will need to schedule a Zoom meeting(s) in preparation for the live oral or practical assessment task. You can either schedule one Zoom meeting to record a group of students (i.e. an entire tutorial class) or separate Zoom meetings for individual students.

Regardless of which option you choose, it is important that you use a consistent naming convention when scheduling the Zoom meetings to avoid confusion when the videos are shared to the Echo360 collection.

    Our recommended naming conventions are:

    • [course code] [tutorial group] - [week] [assessment title] (i.e. ABCD1234 Tutorial Group 01 - Week 1 Oral Presentations)
    • [course code] [student number] - [assessment title] (i.e. ABCD1234 s1234567 - Oral Presentation )

For more information on scheduling Zoom meetings, refer to the Organising a Zoom meeting ITS guide.
