Prior to setting up your ePAD / Program instance you will need to ensure you have created your cohort of students first. For further information on creating a cohort, refer to the Create a cohort guide.

4. Configure ePAD details

Review and finalise the ePAD details.

 Setting
NameThis is the name of the ePAD, it was set during the initial creation of the ePAD but can be corrected or updated here if required.
DescriptionThis field is not required however can be used to put a brief description about the ePAD.
Status

Select from the drop-down list:

Draft: When the ePAD is first created it will be in Draft status, this will allow you to complete the setup of the ePAD while also allowing for the ePAD to be Deleted if it is incorrectly created.

Live: Once an ePAD is changed to the live status placement data will start to flow through to the ePAD (providing the reference fields are correctly completed), it will also become available to students within the cohort. You are unable to delete an ePAD once it is set to the live status.

Archived: An ePAD is set to this status after the completion of the program and it will lock the ePAD from editing.

ePAD TemplateThis will show you which master template has been used, you are unable to edit this and is a confirmation that you have used the correct template.
CohortThis will show you which Cohort is attached to the ePAD, you are unable to edit this and is a confirmation that you have used the correct cohort.
Start DateThis will be the start date for the ePAD and should be set to the start of the program
End DateThis will be the end date for the ePAD and should be set to the end of the program plus a 2 month buffer.
Target HoursIf your program requires hour tracking then you will need to set the total number of hours for the program in this box.

Nominated Assessor Delivery

If you are using the Nominated assessor workflow this will determine when the email will be sent to the assessor.

None: Default option. This option applies if the nominated assessor workflow is not being used.

Start: Will send the email to the nominated assessor at the beginning of the placement.

Middle: Will send the email to the nominated assessor at the middle of the placement.

End: Will send the email to the nominated assessor at the end of the placement.

Nominated Assessor Reminder Limit (days)Limits the number of days before a reminder can be sent. Recommended that it is set to at least 3 days.
Allow Hours Outside of Placement DatesNot recommended. Can be used if you want students to record hours outside of their placement dates.
Delete this ePADThis button only shows while the ePAD is in Draft status.

Once the above settings are reviewed and updated ensure to change the Status to Live and then click on the Save changes button.
