After students have made bookings with your service, you can view, edit or cancel their bookings. The updated booking details will be notified to both students and teaching staff.

  1. Access your course's Microsoft Bookings page from the UQ Bookings app.
  2. Click on the Services button.
  3. If you have multiple services in your booking page, you need to select the relevant service to view students' bookings. If you have one service, the service calendar will be displayed for you in this step.
  4. Click on the Calendar and Availability button.
  5. Click on the required booking.

  1. Three options are displayed: View, Edit, and Cancel.

View a student booking

  1. Click on the View option. The booking details are displayed. You can Edit or Cancel the booking if required.

Edit a student booking

If you need to assign the booking to a different staff member or reschedule the meeting time, use the Edit option. The updated meeting details will be sent to the newly assigned staff member and the student. A cancellation notification will be sent to the original interviewer.

  1. Click on the Edit button.
  2. You can:
  • Change the Start date and time, and End date and time
  • Reassign the booking to another staff member by clicking the cross (X) icon next to the current staff member’s name, then selecting a new staff member from the list.

Note: The text message notifications are not available at UQ.

  1. You can view the student's answer to the custom question.
  2. Click on the More options button.

  • Don't send customer an email confirmation is unchecked by default and is recommended to remain unchecked.
  • Let customers manage their appointment is enabled by default and is recommended to remain enabled.
  • Send a meeting invite to the customer is enabled by default and is recommended to remain enabled.
  1. Click on the Update booking button.

  1. Click on the Cancel button.
  2. Enter a relevant message to the student in the text box.
  3. Click on the Cancel booking button.

Note: The student still sees the invite in Outlook

The student needs to click on the Delete button to delete the invite from their Outlook calendar.
