Adding availability allows you to set the timeslots that students can book with you. If you have the Administrator role, you can add your own availability and manage availability for other team members. Staff with the Team member role can add and edit their own availability only.

  1. Access your course's Microsoft Bookings page from the UQ Bookings app.
  2. Click on the Staff button.

  1. Click on the pen icon or the Edit staff button.

  1. The following settings are selected by default and are recommended to remain enabled:
  • Notify the staff member via email when a booking is assigned to them is created or changed - You will receive email notifications
  • Events on Office calendar affect availability - Your students cannot book a time with you when you are already scheduled for other tasks.

  1. The Use business hours setting is enabled by default:

  • This setting allows students to book appointments with you whenever you have availability in your Outlook calendar. Note: Meetings marked as Tentative or with unaccepted invitations in Outlook will appear as available times when students make a booking. 
  • If Buffer time is enabled in the service’s Basic details (for example, 10 minutes before an appointment), the system will automatically display the next available time as 10 minutes after a scheduled meeting in your Outlook calendar.

    Alternatively, you can customise your availability by: 

  • Unchecking the Use business hours setting
  • Editing, adding, or deleting your availability times

 

This option is recommended if you want students to book appointments with you only on specific days and at specific times.

  1. Click on the Save changes button.
